At a glance
- The situation
- A family-run guest house sells its rooms through two online channels and a phone line, updating each extranet by hand.
- What goes wrong
- A room is sold twice on a busy weekend, every booking pays channel commission, and the owner cannot tell whether the channels' room types match the rooms upstairs.
- What changes
- bedsKey maps the rooms and rate plans once, updates availability on every channel from one inventory and adds a direct booking engine on the guest house's own website.
An illustrative scenario: a family-run guest house sells through online channels it updates by hand, double-books a room, and pays commission on every stay. With bedsKey's channel manager, room mapping wizard and direct booking engine, availability is updated from one place and direct bookings share the same inventory.
The scenario
Picture a family-run guest house with a dozen rooms. It sells through two online booking channels and takes direct bookings by phone and email. Each channel has its own extranet, and the owner updates availability on both every evening, after the day's check-ins, from a notebook kept at reception.
On a festival weekend a room is sold twice: a phone booking was written in the notebook but the channels were not updated in time, and both of them sold the last room. One guest arrives to find no room, the guest house pays for a night elsewhere and receives a public review it will carry for years.
Commission is the quieter problem. Every booking that comes through a channel pays a share to that channel, including repeat guests who would happily have booked direct if the guest house had a way to take a card payment online. The owner has looked at building a booking page but the agency quoted for a website that would not know about the channels at all.
Underneath both problems is mapping. The owner was never sure whether "Deluxe Double" on one channel and "Double Room – Deluxe" on the other pointed to the same two rooms upstairs, or whether the rate plan with breakfast had been created on both. Nobody had explained whether the channels create room types themselves or need to be matched by ID.
Why it is hard to fix
Availability lives in several places
Each channel, the phone line and the notebook hold their own version of what is free.
Room types do not line up
Every channel names rooms and rate plans its own way, and a wrong mapping sells the wrong inventory.
Direct booking needs the same inventory
A booking page that does not share availability with the channels just adds one more place to double-book.
Small properties cannot staff this
There is no revenue manager; the owner is also the receptionist and the breakfast cook.
What changes with the platform
bedsKey gives the guest house one inventory. Its channel manager, with certified connections to the online channels, pushes availability and rates from the property system to every channel and brings reservations back, so a room sold anywhere is closed everywhere. Phone bookings are entered once, at reception, and the channels update themselves.
The room mapping wizard imports the room types and rate plans from each channel and lets the owner match them to the real rooms and plans, so "Deluxe Double" and "Double Room – Deluxe" both point at the same two rooms and the breakfast plan exists everywhere it should.
A direct booking engine and hotel website sit on the same inventory, with local payment options, so repeat guests can book and pay online without a channel in between. Cancellations from any channel are acknowledged back, so a cancelled room reopens for sale rather than sitting blocked.
How it works, step by step
-
Rooms and rates are set up once
The property system holds the real rooms, rate plans and restrictions.
-
Channels are mapped
The mapping wizard imports each channel's room types and rate plans and matches them to the property's own.
-
Availability syncs both ways
A booking from any channel, the phone or the website reduces the same inventory, and the change is pushed to every channel.
-
Direct bookings go live
The booking engine on the guest house's website takes reservations and payments against the same availability.
-
Cancellations reopen rooms
A cancellation on any channel is acknowledged and the room goes back on sale everywhere.
-
The owner checks one screen
Reservations, availability and channel status are in the property system; the evening extranet round is gone.
Before and after
| Before | With the platform |
|---|---|
| Two extranets updated by hand every evening from a notebook | One inventory; channels update automatically |
| The same room sold twice on a busy weekend | A booking anywhere closes the room everywhere |
| Room types matched by guesswork | Room types and rate plans mapped through a wizard |
| Every booking pays channel commission | Repeat guests can book direct on the guest house's own website |
| A cancelled room stays blocked until someone notices | Cancellations are acknowledged and the room reopens |
What it does not do
- It cannot remove channel commission on bookings that still come through channels; it adds a direct channel beside them.
- Mapping needs the owner to confirm which channel room type matches which real room; the wizard guides but does not guess.
- Rate parity between channels is still the property's commercial decision; the system applies the rates it is given.
Questions about this scenario
How did the double booking happen in this scenario, and what stops it?
A phone booking reached the notebook before the channels were updated, and both channels sold the last room. With one inventory and automatic channel updates, the phone booking would have closed the room on both channels at once.
Do the channels create room types automatically or must they be mapped?
Channels keep their own room types; the mapping wizard imports them and lets the owner match each one to a real room and rate plan, so nothing is matched by guesswork.
Would the guest house still need the online channels?
Yes, for new guests who search there. The direct booking engine gives repeat guests and website visitors a way to book without a channel in between.
Can a cancellation on a channel be missed?
A cancellation from any channel is acknowledged back and the room reopens for sale, so it is not left blocked.
