Everything below is shipped and running today — the front office, the back office, and the distribution layer that connects them to the outside world.

Reservations & availability

An availability calendar covering every room and every date, colour-coded by status, with room-level and bed-level inventory in the same grid. Multi-room reservations share one guest and one folio. The full lifecycle — enquiry, tentative, confirmed, checked-in, checked-out, cancelled, no-show — is tracked with status history. Stays extend or shorten without cancelling: nights already agreed keep their agreed rate, and only added nights are priced. Stop-sell and closeouts apply to a room type or date range in one action.

Rate plans & revenue management

Seasonal and date-range rates for high season, low season, weekends and events, priced independently per room type and rate plan. Derived rates let a child plan track its parent at an offset — change the parent and every derived rate follows. Add occupancy-based pricing with extra-adult and child tiers, minimum and maximum stay, closed-to-arrival and closed-to-departure, promo codes with validity windows and usage limits, channel-specific pricing, occupancy-based auto yield, and bulk updates across a whole date range.

Front desk

Arrivals, in-house and departures on one dashboard. Check a guest in fast — assign a room, capture ID, take a deposit — or register, price, room and check in a walk-in from a single screen. Room moves and mid-stay room-type changes re-price only the remaining nights. Guest profiles carry stay history, preferences and repeat recognition; company and travel-agent accounts carry negotiated rates and credit terms.

Folio, billing & night audit

One running statement per guest, with each tax line shown beneath the charge it was computed on. POS-style posting covers restaurant, laundry, minibar, spa, transport and custom codes. Tax and service charges are configurable per property, applied in your order, and effective-dated, so last month's bill still explains itself at last month's rate. Split a bill several ways or divide it by share; reduce a charge and its tax is corrected with it. Night audit posts room and tax charges, rolls the business date, flags no-shows and locks the day.

Housekeeping

Live room status — clean, dirty, inspected, out-of-order, out-of-service — with a task board and daily assignment sheets per attendant, ordered by departures and arrivals. Attendants update status from a phone and reception sees it instantly. Rooms come out of sale with a reason: out-of-order removes a room from inventory, out-of-service keeps it countable.

Reports & analytics

Occupancy, ADR and RevPAR by day, week, month or custom range. Revenue by transaction code and category with credits and discounts shown separately. A manager's flash report, arrivals and departures lists, month-to-date against the same period last year, forecast with net pickup, market-segment performance, channel performance with cancellation rate, housekeeping productivity, a shift report for counting a drawer, and every fee charged against every fee waived — each with CSV export.

Distribution

An extranet and channel manager, built in.

Rates and availability go out; reservations, modifications and cancellations come back in. Both directions are checked, and anything that does not reconcile is surfaced rather than swallowed.

Rates & availability out

A connected channel receives every night whose price, availability or restrictions change, as far ahead as you choose. Delivery is visible: nights confirmed, when the last one landed, and — when a push is failing — the retry count, the next attempt, and the channel's own error text.

Reservations in

A channel posts bookings, modifications and cancellations to a signed endpoint and they become real reservations at the price the channel quoted. A retry never books twice.

Parity checking, both ways

Every inbound booking is compared against the rate that channel was published, and mismatches are listed with the shortfall. When a push stops landing, the screen states how many rooms the channel may still be selling that the property does not have.

Bookings that will not fit

They wait on a Channel bookings screen instead of quietly overselling the property. Retry it, move the guest to a free room type at the channel's price, accept it anyway as a permission-gated action, or refuse it with a recorded reason.

Read-back reconciliation

Ask a channel what it is currently holding and compare it night by night against what was sent — so a silent drift between the two is caught by a check rather than by a guest at the desk.

Mapping & protocols

Each channel's own codes for room types, rate plans, the property and the partner account are pasteable in bulk and validated before they are applied. bedsKey speaks its own signed JSON webhook, the published OpenTravel (OTA) XML message set, and Booking.com's Connectivity API.

A note on channels: bedsKey speaks Booking.com's Connectivity API and the OpenTravel XML standard. Certification with each individual channel is part of onboarding, and a connection to a named channel cannot leave sandbox until the sandbox it was tested against has been recorded.

  • Granular, per-action permissions

    Rate overrides, discounts, folio adjustments, cancellations and viewing a guest's ID document are each gated individually. Templates ship out of the box — Owner, General Manager, Front Office Manager, Reservations Manager, Receptionist, Housekeeping Supervisor, Housekeeper, Accountant, Auditor — and you adapt them from there.

  • Roles that follow the property, not the person

    The same member of staff can be a Manager at one property and a Receptionist at another, with no second account and no ambiguity about which hat they are wearing.

  • An audit trail you can actually read

    Every create, update and delete is recorded with who, what, which property and when — as field-level differences linked to the affected record rather than a wall of raw data. Append-only.

  • Guest documents handled properly

    ID and document capture is encrypted at rest, viewing is gated by its own permission and written to the audit trail, and scans and identity numbers are deleted automatically once your retention period has passed since the guest's last stay.

What is bedsKey?

bedsKey is a complete, cloud-hosted hotel property management system for independent hotels, resorts, hostels, guest houses, serviced apartments and small hotel groups. It brings reservations, the front desk, housekeeping, folio and billing, night audit, reporting and distribution into one real-time platform, so a property runs from a single system instead of a PMS plus a pile of spreadsheets.

Can bedsKey sell dorm beds?

Yes. bedsKey carries true bed-level inventory, so individual beds inside a shared dorm are sold in the same availability calendar as private rooms — which is what makes it workable for hostels and backpacker properties, not just hotels.

Can two receptionists double-book the same room?

No. Overlap protection is enforced at the data layer rather than by application code, so the second booking is rejected even if both screens showed the room free a moment earlier. It is a guarantee, not a race condition your staff have to work around.

Does bedsKey connect to OTAs?

bedsKey speaks Booking.com's Connectivity API, the published OpenTravel (OTA) XML message set, and its own signed JSON webhook. Certification with each individual channel is part of onboarding. Once a channel is connected, rates and availability go out and reservations, modifications and cancellations come back in, with rate and inventory parity checked on both.

What happens when a channel booking will not fit?

It waits on a Channel bookings screen instead of silently failing or quietly overselling the property. From there you can retry it, move the guest to a free room type at the price the channel quoted, accept it anyway (a permission-gated action), or refuse it with a recorded reason.

Does bedsKey support overbooking?

Not in the current version — it is deliberately switched off, and the overlap limit is enforced at zero. Selling a room twice on purpose is a decision a hotel should make with its eyes open, so it is not exposed as a feature. Channel bookings that will not fit are queued for a human instead.

How does pricing work in bedsKey?

One rate engine covers seasonal and date-range rates, independent pricing per room type and rate plan, derived rates that track a parent plan at an offset, occupancy-based pricing with extra-adult and child tiers, minimum and maximum stay with closed-to-arrival and closed-to-departure rules, promo codes, channel-specific pricing, occupancy-based auto yield, and bulk updates across a date range in one operation.

Can I bill a company directly?

Yes. Corporate and travel-agent accounts carry negotiated contract rates and credit terms, and the folio supports split bills, dividing a bill by share, bill transfers, sequentially numbered invoices and receipts, credit notes with the tax taken back out, payments matched across several invoices, and a city ledger for outstanding corporate and agent balances.

What happens at the end of the day?

Night audit posts room and tax charges, rolls the business date, flags no-shows and locks the day's figures. It runs automatically on a schedule, or on the duty manager's command.

Can I run more than one property?

Yes. A group operates multiple properties under a single login, each with its own currency, taxes, policies, room types, rate plans and branding, plus per-property roles — the same person can be a Manager at one property and a Receptionist at another — and cross-property reporting for group management.

Can I see who changed a rate?

Yes. Every create, update and delete is recorded with the user, the property, the time and the exact fields that changed — field-level differences linked to the affected record, append-only. Sensitive actions such as rate overrides, discounts, folio adjustments, cancellations and viewing a guest's ID document are individually permission-gated.
