Replace the spreadsheet: a travel agency back office that is as easy as a sheet and far safer
A large number of growing agencies still run their bookings on shared spreadsheets. Owners describe the same worries: a mistyped figure in an unlocked cell, customer-service staff seeing margins and supplier rates, dashboards that need constant upkeep, and finance staff building their own filters to find out who to pay today. This page explains where spreadsheets break and how to move off them without stopping the business.
01What goes wrong
Spreadsheets work at the start. These are the four points at which agency owners say they stop working.
Fat-finger errors
One wrong cell changes a total and nobody can tell who changed it or when.
Everyone sees everything
Hiding cost and margin columns from customer-service staff means maintaining extra copies of the sheet that drift apart.
Dashboards that rot
Pivot tables for booking status and finance KPIs need constant maintenance, and filter views are clumsy with several users.
No daily task list
Finance staff have to work out for themselves which supplier is due for payment today.
See where it breaks — and how it is fixed
The problem. Everyone edits one shared sheet: margins are visible to all, totals can be changed silently, and finance and the owner rebuild filters and pivots by hand.
The fix. Bookings are imported into one back office: field-level roles hide cost and margin, dashboards update live, and supplier payments arrive as a due-date queue.

Fat-finger errors
Why it happensA spreadsheet has no idea what a booking is, so a wrong cell changes a total silently.
How the platform fixes itImported bookings become structured records with validation and a per-booking history.
Everyone sees everything
Why it happensSheet sharing works per file, so hiding margin means keeping extra copies.
How the platform fixes itField-level role permissions hide cost, margin and supplier rates on the same record.
Dashboards that rot
Why it happensPivots are rebuilt by hand whenever a column or status changes.
How the platform fixes itLive KPI dashboards show status, margin, receivables and payables without upkeep.
No daily task list
Why it happensNothing in a sheet happens on its own, so finance works out who to pay from filters.
How the platform fixes itA supplier payables queue lists amounts by due date, with assignment and reminders.
02Why it matters
For the business
- Invoicing and supplier payments based on wrong figures
- Margins and supplier rates exposed to staff who leave
- No audit trail when a number is disputed
For operations
- Hours a week maintaining pivots and filter views
- Duplicate sheets for different roles
- Late or duplicate supplier payments because due dates live in people’s heads
For the team
- New staff learn the sheet’s conventions instead of the business
- The person who built the sheet becomes a single point of failure
03Why it happens
-
A spreadsheet has no data model
A sheet does not know that a row is a booking with a customer, a supplier, a cost and a selling price. It cannot validate that the supplier cost belongs to that supplier, or that a status transition is allowed, so every error is a human one.
-
Permissions are per sheet, not per field
Spreadsheet sharing works on whole files or ranges. Showing the same booking to a customer-service agent without the margin column means a second sheet — and a sync problem.
-
Reporting is rebuilt, not generated
Pivot tables and dashboards are layered on top of the data by hand. Every new column, status or team member means rebuilding them.
-
Nothing happens on its own
A sheet cannot raise a task when a payment falls due or a booking has been pending too long. People have to look.
What moves across — and what is redesigned
Importing a spreadsheet moves the data. It does not move the spreadsheet’s logic, and that is usually a good thing.
| In the spreadsheet | In the platform |
|---|---|
| Booking rows: customer, supplier, dates, cost, selling price, status | Imported as structured booking records |
| Formulas and calculated columns | Replaced by the platform’s own calculations (margin, net commission, balances) |
| Pivot tables and charts | Replaced by live KPI dashboards |
| Separate sheets per role | Replaced by field-level role permissions on one record |
| Colour coding and comments used as a to-do list | Replaced by queues: pending confirmations, supplier payables |
| Inconsistent spellings, merged cells, free-text dates | Cleaned before import — this step is the agency’s data, so it needs the agency’s review |
Example: one booking, three roles
An illustration of field-level permissions. Your own roles and fields are set during onboarding.
| Field | Customer service | Ticketing | Finance |
|---|---|---|---|
| Customer and itinerary | View and edit | View and edit | View |
| Selling price | View | View | View and edit |
| Supplier cost | Hidden | View | View and edit |
| Margin | Hidden | Hidden | View |
| Supplier payment status | Hidden | View | View and edit |
04Our approach
Keep what people like about the sheet — speed and familiarity — and add what it cannot do.
Import, don’t retype
Existing booking records come in from Excel or Google Sheets, so history is not lost and totals can be checked against the old file.
Permissions per field
Cost, margin and supplier rates are hidden by role on the same record — no second copy.
Dashboards that maintain themselves
Status, margin, receivables and payables are live views of the data, not pivots someone rebuilds.
Tasks from due dates
Supplier payables, pending confirmations and ageing items become assigned tasks with reminders.
05How the Innovate Solution platform solves it
| Problem | Platform capability |
|---|---|
| Moving off the sheet | Excel and Google Sheets import for existing booking records. |
| Margins visible to all | Field-level role permissions: cost, margin and supplier rates hidden from roles that should not see them. |
| Dashboards maintained by hand | Live KPI dashboards for booking status, margin, receivables and payables. |
| Who do we pay today? | A supplier payables queue with due dates, assignment and reminders. |
| Ledgers and reconciliation | Accounting in travoBooks and booking-to-finance reconciliation in TRI. |
| Errors nobody can trace | Structured booking records with validation and a per-booking history. |
How it runs, step by step
- Freeze the sheetAgree which columns map to which fields; stop adding new columns.
- Import historyLoad existing bookings and check totals against the sheet.
- Set up rolesDecide which fields each role can see and edit.
- Run new bookings in the platformThe sheet becomes read-only reference.
- Close a periodOnce finance has closed a period from the platform, retire the sheet.
06What changes
| Before | With the platform |
|---|---|
| A wrong cell changes a total silently | Validated fields with a per-booking history |
| Separate sheets per role, drifting apart | One record, fields shown by role |
| Pivots rebuilt every time something changes | Live dashboards that need no upkeep |
| Finance works out who to pay from filters | A payables queue with due dates and reminders |
| The sheet’s author is a single point of failure | The process lives in the system, not a person |

- Agencies with several staff sharing one sheet
- Agencies hiring customer-service staff for the first time
- Owners who want finance KPIs without maintaining pivots
- Agencies preparing for an audit or investor review
Questions to ask any vendor
- Can we import our existing sheet, and how are totals checked?
- Can cost and margin be hidden per role on the same booking?
- Do dashboards update themselves?
- Does the system tell finance who to pay today?
- Can we run both for a period before retiring the sheet?
Frequently asked questions
Is a spreadsheet good enough for a small travel agency?
It works at the start, but it has no validation, no field-level permissions, no audit trail per booking and no automatic tasks. Those gaps grow with every new staff member and supplier.
Can we import our existing bookings from Excel or Google Sheets?
Yes. Existing booking records can be imported from Excel or Google Sheets into the Innovate Solution platform.
Can customer-service staff be prevented from seeing margins?
Yes. Field-level role permissions let you hide cost, margin and supplier rates from roles that do not need them, on the same booking record.
Does the platform tell finance which suppliers to pay?
Yes. A supplier payables queue lists amounts by due date, can be assigned to staff, and sends reminders.
Will staff who like the spreadsheet accept a system?
Usually, when the system is faster for their daily task. Importing the existing data, keeping familiar field names and running both in parallel for a short period removes most of the resistance.
